The Data and Administration Support Officer is responsible for the provision of administrative support and data entry tasks for the Capital Region Retrieval Service (CRRS).
The CRRS is a branch of ACT Health that operates out of CHS and is responsible for providing the medical crewing of the SouthCare Rescue Helicopter; clinical governance; training of registrars in Retrieval Medicine; and co-ordination of all transfers of critically ill patients throughout the ACT and Southern NSW. The CRRS also provides an advice and telemedicine service to the Southern NSW hospitals. The medical crew are highly skilled Emergency, Intensive Care and Anaesthetic consultants and senior registrars.
Divisional administrative and data support tasks include daily management of the CRRS office, data entry for the CRRS, minute taking, travel bookings, and human resource processes related to the medical staff within the CRRS.
This position reports to the Operations Manager, Division of Surgery and will work very closely with the Director and Deputy Director of the CRRS and Clinical Development Nurse.
Position Overview
Canberra Health Services (CHS) is focussed on the delivery of high quality, effective, person centred care. It provides acute, sub-acute, primary and community‐based health services, to the Australian Capital Territory (ACT) and surrounding region. The Division of Surgery is responsible for delivering inpatient and outpatients surgical and medical imaging services to the ACT and surrounding region. The Division includes Surgical Bookings and Pre-Admission Clinic, Anaesthesia, Pain Management Unit, Operating Theatres, Post-Anaesthetic Care Unit, Day Surgery Unit and Admissions / Extended Day Surgery Unit, Medical Imaging, specialist surgical ward areas, medical and nursing Outpatient services, ACT Trauma Service, ICU, Capital Retrieval, Trauma and Orthopaedic Research Unit.
These Units are supported by administration support officers.

Duties:
  • Act as a point of contact for and manage the daily activities of the office of CRRS including secretariat support, correspondence, diary management, and travel bookings.
  • Undertake human resource processes on behalf of the medical staff of the CRRS including, roster management, leave requests, processing timesheets, and assisting with recruitment activities.
  • Input and review all CRRS activity data via the Air Maestro database, including the collation of periodic activity reports, audits and customised reports upon request.
  • Utilise IT systems to develop and produce relevant reports for the Division of Critical Care.
  • Contribute towards quality assurance tasks of the Division of Surgery.
  • Undertake other duties appropriate to this level of classification which contribute to the operation of the organisation.

Position Requirements/Qualifications:
  • Experience in the use of ACT Health and CHS IT systems
  • Data management experience which includes accurate data entry and quality data checking
  • Have an understanding of how the National Standards and Quality Health Service (NSQHS) indicators align with this role.
  • Fulfil the responsibilities of this role as detailed in the CHS Exceptional Care Framework, Clinical Governance Framework, Partnering With Consumers Framework and all other related frameworks.
Prior to commencement successful candidates will be required to:
  • Undergo a pre-employment National Police Check.
Note: This is temporary position available for a period of six months with the possibility of extension and/permanency.

3.Demonstrated knowledge and experience in using computer applications including ACT Health information management systems, databases and Microsoft Office.
4.Proven ability to work effectively in a small team environment, and with a level of autonomy, to manage and co-ordinate a range of tasks and ongoing projects.
5.Demonstrates understanding of, and adherence to, safety and quality standards, Work, Health and Safety (WHS) and the positive patient experience. Displays behaviour consistent with CHS’s values of reliable, progressive, respectful and kind.
