This position will provide administrative support to the Clinical Trials Support Unit by performing a wide range of functions, including records management, database maintenance and financial administration for the CTSU and its stakeholders, including working directly with the Research Ethics and Governance Office (REGO). It is expected that the successful applicant will be able to demonstrate attention to detail suitable for data entry and quality assurance tasks. Applicants should be able to demonstrate familiarity with the legislative and policy requirements of digital record keeping and management and an understanding of the confidentiality requirements of the CTSU/REGO.


Under limited direction of the Clinical Trials Manager, you will:

  • Provide administrative support to ensure the efficient management and operation of the CTSU/REGO
  • Manage shared email inboxes, respond to queries and forward to senior staff as appropriate
  • Manage digital filing and record keeping in line with CHS policies and the requirements of the Territory Records Office and the National Health and Medical Research Council.
  • Assist with the maintenance of databases and electronic data management systems, including data entry, to support the provision of financial and administrative data, under the relevant data retention policies and finance procedures
  • Liaise with researchers, research coordinators, and other internal and external stakeholders, ensuring the smooth functioning of CTSU/REGO processes
  • Undertake other duties appropriate to this level of classification that contribute to the operation of the organisation

Position Requirements/Qualifications:

It is desirable that the successful applicant:

Have previous experience in office administration

The successful applicant will need to be available for occasional after-hours work.

Have an understanding of how the National Safety and Quality Health Service (NSQHS) indicators align with this role.

Have an understanding of how the National Statement on Ethics Conduct in Human Research aligns with this role.

Fulfil the responsibilities of this role in alignment to the CHS Exceptional Care Framework, Clinical Governance Framework, Partnering With Consumers Framework and all other related frameworks.

CHS is leading the drive to digitally transform health service delivery in Australia through the implementation of a territory wide Digital Health Record. Computer literacy skills are required which are relevant to this role as you will be responsible for completing required documentation and becoming a proficient user of the Digital Health Record and/or other Information Technology systems; once proficient, you will need to remain current with changes, updates and contingencies.

Please note prior to commencement successful candidates will be required to:

Undergo a pre-employment National Police Check.

Comply with Canberra Health Services Occupational Assessment, Screening and Vaccination policy (OMU).

  • Demonstrated ability to be an effective team member, organise workloads, set priorities and meet established deadlines within a busy research administration environment
  • Demonstrated written and oral communication skills, including sound knowledge of the Microsoft Suite to support drafting of correspondence, data entry and quality assurance tasks
  • Demonstrated interpersonal skills and the ability to liaise with stakeholders, build and maintain positive and productive networks and relationships
  • Demonstrated ability to adhere to legislative and policy requirements to maintain digital record management and financial administration
  • Demonstrates understanding of, and adherence to, safety and quality standards, work, health, and safety (WH&S) and the positive patient experience. Displays behaviour consistent with CHS’s values of reliable, progressive, respectful, and kind.
