Virtual Services Support Officer

Reporting to the Virtual Services Manager and supporting the Senior Leadership Team as well as the wider Virtual Services team in QLD, key responsibilities include:

  • Provide effective financial, contract and records management support for all Virtual Services Programs
  • Provide a full range of operational support services to Virtual Services Queensland based operations
  • Coordinate local site-based projects in conjunction with the QLD Management Team
  • Coordinate and maintain facilities and resources within QLD Counselling Centre (e.g. kitchen and stationery supplies)
  • Lodge and follow processes within the yourtown’s Quality Information System (QIS) and follow up until completion
  • Provide ongoing and ad hoc support the QLD Virtual Services unit as required to support the effective running of services
  • Coordinate Travel and Management tasks
  • Co-ordinate incoming and outgoing communication (telephone, electronic, hard copy and in person) on behalf of the Virtual Services Manager and Leadership team as required
  • Organise meetings and record and distribute meeting minutes, noting relevant discussion points and actions, and following-up on assigned actions to ensure they are completed to timeframe
  • Work collaboratively with the KHL NSW Support Officer to ensure streamlined operations across both sites

About you

You will have at least 3 years’ experience providing administrative support at a management level. Your time management and organisational skills will allow you to achieve deadlines in an environment of multiple competing priorities. Communication and professional presentation are vital for this role and you will possess the ability to communicate effectively and respectfully to a wide range of staff. You will be prepared to go above and beyond to assist Queensland based staff and will have a pleasant and outgoing demeanour.

You will enjoy the challenge of helping to manage contractual reporting, and formatting and presenting organisational documentation for internal and external publication. You will have excellent MS Office skills and proficiency with using Excel for reporting and analysis. You will be flexible to take on any task as required and will be able to work autonomously and collaboratively with the wider Virtual Services Team.
