The Department of Treasury and Finance provides economic, financial and resource management advice to help the Victorian Government deliver its policies. We strive for excellence in financial and economic management to improve the lives of all Victorians.

ITS has a substantial and complex portfolio of services. It provides services to DTF, as well as knowledge and expertise to support and harness the possibilities of direction with Whole of Victorian Government (WoVG) in Information and Technology. Adopting the role of effective advisor, provider, and influencer of technology and information at DTF, ITS influences business planning, connects IT across the services, provides a range of services which include information and records management, and is driving ahead with maturing IT to provide better integration of technology platforms to benefit all staff.

About the role

Key accountabilities -

  • Monitor and maintain the integrity of information in the corporate EDRMS and M365, including applying appropriate access controls and metadata controls.
  • Support business units in the use of the corporate EDRMS, SharePoint Libraries and Team Channels.
  • Register and classify incoming documents and mail accurately and within agreed service levels
  • Contribute to Information and Records Management projects and be responsible for delivering medium and smaller sized projects to individual business units.
  • Assist in the development of policies, processes, and procedures for managing the departments information and records.
  • Assist in the development of reports to highlight any current or potential issues for information and records management on the department's information platforms.
  • Provide support in respect to managing records and information.
  • Perform audits of the EDRMS, SharePoint Libraries and Team Channels and provide reports of information keeping practices to ensure compliance with policies, business rules, and procedures.
  • Identify and assist in the development and implementation of improvement initiatives regarding the management of information and records.
  • Assist in the delivery of operational services in Information Technology Services Team as required.

About you

To be successful in this role, candidates will have experience in the following areas:

  • Extensive experience using Content Manager (CM) the departments electronic document records management system
  • Experience in providing information and records support in SharePoint Libraries and MS Team Channels
  • Knowledge and understanding of the Public Records Act 1973 and associated standards or a desire to learn.
